How to answer your customers who contact you using your contact form

In this article, you’ll learn how to seamlessly integrate your website's contact form with Herodesk. By routing form submissions directly into your inbox, you can manage all customer inquiries in one place and provide faster support.

Connecting an external contact form

Using an external app or plugin for your contact form is no problem. As long as the form sends an email, Herodesk can handle it.

  1. Navigate to Settings > Channels > Email to find your Herodesk forwarding address.
  2. Go to your contact form settings (in WordPress, Shopify, or your specific form app).
  3. Set the Recipient Email to your Herodesk forwarding address.
  4. Locate the Reply-to settings in your form builder.
  5. Map the Reply-to field to the customer’s email and name fields from your form.
  6. When you’re finished, remember to click Save in your form app.

By setting the Reply-to correctly, Herodesk automatically recognizes the customer as the sender. This allows you to quickly message them back directly without any manual copying and pasting.

Note on Sender Addresses To ensure your emails don't end up in spam, the From address (the sender) of the contact form notification must use your own domain (e.g., support@yourdomain.com). Do not set the "From" address to be the customer's email or a generic system address from the form provider, as this often causes delivery issues.

How to test your setup

It is always a good idea to verify that the information is flowing correctly before your customers start using the form.

  1. Go to your contact form on your website.
  2. Fill out the form as a customer would, using a personal email address you have access to.
  3. Navigate to Inbox in Herodesk.
  4. Open the new conversation and check that the customer's name and email appear correctly as the Contact in the right side.
  5. Send a message back so you can verify that the message is send to your personal test email.
